Purpose of the job

  • To analyse the current and future operational process
  • To document them 
  • To control that the documented process are well known by each operation member and that the process is correctly applied

Summary of responsibilities:

Analysing current business process

  • To analyze the current business process and proceed to in depth data analysis
  • To identify areas for improvements
  • To documentation these processes with detailed Work Breakdown Structure (WBS), detailed process mapping (Business Data Modelling), Standard Operating Procedure (SOPs)  and workflows diagrams
  • To use key Lean management tools to proceed for analysis and identification of the obstacles, inefficiencies and opportunities for improvement 
  • Work with Terminal Operation System (TOS) Super User to identify the gaps between the system and the operational process. 

Process optimization

  • Developing and implementing optimised processes and procedures to enhance efficiency, productivity and customer satisfaction
  • Collaborating with stakeholders to design and execute process improvement initiatives aligned with organisational goals
  • Monitoring and evaluating the effectiveness of implemented process changes, measuring key performance indicators and making necessary adjustments for continuous improvement
  • To identify and support any upcoming new operational opportunity or new regulation impacting the operations and proceed for gap analysing to identify the changes
  • Keep looking for business improvement 
  • Identify and secure several Point of controls in the operational process
  • Focus on data integration, work with different type of  Stakeholders in order to support secured digitalization of the process, Ensure that all communication flow is properly documented. 

Change management 

  • Collaborate with cross-functional teams to implement process changes, ensuring smooth transitions and minimal disruption to operations
  • Communicate with shareholders and stakeholders to ensure alignment on proposed changes. Anticipation is mandatory
  • Provide training and support to team members on new processes and best practices
  • Monitor process audits and evaluate the effectiveness of implemented process changes, gathering feedback and making necessary adjustments
  • Work with TOS SU to ensure proper adaptation of the process in the TOS / Dry Run and track all changes management request delivery and status.

Project management 

  • Support any operational project 
  • Support systems Migration projects
  • Support other Terminal operational teams if required. Maintain a knowledge sharing network, best practices with HQ and the other terminals of the group
  • Benchmark on industry trends and process improvement 

Education & Experience:

  • Bachelor’s degree in business administration, management or a related field
  • experience in business process analysis and project management
  • Working knowledge of Incident/Problem/Change Management frameworks such as ITIL v3, TQM or ISO 9000:2000.

Technical Skills & Knowledge Required:

  • Relevant certification in business process management or a related field
  • Working knowledge of process improvement methodologies, such as Lean / Six Sigma is preferred
  • Familiarity with process mapping and modelling techniques
  • Strong analytical skills with the ability to collect, study and interpret complex data
  • Proficiency in Microsoft Office suite, including Excel, PowerPoint and Visio
  • Experience in project management and change management
  • Knowledge of logistics industry regulations and standards
  • Experience in change management methodologies
  • Familiarity with data analytics and visualisation tools.

Behavioral Competences Required:

  • Ability to manage and perform multiple complex tasks as part of the daily work assignment
  • Strong communication and presentation skills to effectively communicate process changes and recommendations to stakeholders at all levels
  • Must have a “Devil is in the details” mindset

Language Requirements:

  • Fluent spoken and written English is a must
